Querying On All 2010 Donations 

Below you will find the steps to query for all Donations given in 2010.

 

- Go to Query

- Click on a category that you want to store this query in (example: Base)

- click New Query under the tasks menu

- Name the query

- Set the Starting criteria to Constituent Journal Entry Date: Last Year

- Set the Data Return Type to Journal Entries

- Under MATCH select All of My Criteria

- Choose Commonly Used Fields from the Available Fields drop down menu and click on Individual Transaction Received

- Select "Greater Than Or Equal To" and type in .01
- Click Save

 

Querying on Cumulative Giving for 2010 

In the example below, we are going to show you how to pull anyone who has given $500 or more in 2010. 

 

We will first find all 2010 received amounts:

 

- Go to Query

- Click on a category that you want to store this query in (example: Base)

- Click New Query under the tasks menu

- Name the query 2010 Received Amounts

- Set the Starting criteria to Constituent Journal Entry Date: Last Year

- Set the Data Return Type to Journal Entries

- Under MATCH select All of My Criteria

- Choose Commonly Used Fields from the Available Fields drop down box and click on Individual Transaction Received 

- Select "Greater Than Or Equal To" and type in .01
- Click Save

 

Next, we will use the 2010 Received Amounts query as our starting criteria and pull out those entries from accounts that have given a total of $500 or more:

 

- Go to Query
- Click on a category that you want to store this query in (Ex: Base)
- Click New Query under the tasks menu
- Name the query $500 or more in 2010
- For Starting Criteria, choose "2010 Received Amounts"
- Set the Data Return Type to Journal Entries
- Under MATCH select All of My Criteria
- Select Cumulative Amounts from the Available Fields drop down box
- Select Cumulative Received from the list of links and fill in Greater Than Or Equal To 500
- Click Save and Preview

 

Reporting On All 2010 Donations 

Here are the steps you would take to create a report listing names, addresses and total received amounts for 2010 per account.

 

- Go to Report/Export

- Click on a category that you want to store this report in (example: System)
- Click on New Report under the Task Menu
- Name the report
- Under the Group Report By drop down box select Account
- Under Group Options select Collapse Groups
- Choose Sets from the available fields drop down and click on "Name and Address"
- Choose Journal Fields from the available fields drop down and click on Received
- Click Save and Run under the Task Menu
- Under Select Query choose your query that finds 2010 donations
- At the bottom of the page choose a Delivery Option and then click Submit
